Your trust matters to us. Here's what personal information Klub 20 West Island Gym collects, why, who can see it, and how you stay in control of it.

The short version

  • We collect only what we need to run your membership, answer your requests and keep the club safe.
  • We never sell your personal information.
  • Health information you share (like Health Score answers or medical documents) is used only for the reason you gave it, and only staff who need it can see it.
  • You can unsubscribe, ask what we hold, correct it or ask us to delete it at any time by writing to [email protected].
  • Security cameras are used throughout the club for your safety, never in the locker rooms.

Who we are and who is responsible

This privacy policy explains how Klub Athletik 20, operating as Klub 20 West Island Gym at 50 Boulevard Saint-Charles Unit 4, Beaconsfield, Quebec H9W 2X3 ("Klub 20", "we", "us"), collects, uses, shares and protects your personal information when you visit our website, use our forms, become a member or visit the club.

We follow Quebec's Act respecting the protection of personal information in the private sector, as updated by Law 25. Our person in charge of the protection of personal information (our Privacy Officer) can be reached at [email protected] or (514) 505-3555.

What we collect

We only collect what we need for the reasons below. Most of it comes directly from you.

Why we use it

  • To answer your requests: reply to messages, confirm class or session reservations, and follow up on your Health Score or Fit Check.
  • To run your membership: sign-up, billing, access to the club through the Klub20 app, freezes, transfers and cancellations.
  • To help you reach your goals: assessments, 3D body scans and personal training recommendations.
  • To keep everyone safe: security cameras and check-in records help protect members, staff and the club.
  • To keep in touch, with your consent: news, offers and reminders by email or text.
  • To improve our website and ads: understand which pages help people most and measure our advertising.
  • To meet our legal obligations: for example, accounting, tax and consumer protection rules.

Health and other sensitive information

Some information is more sensitive, like your Health Score and Fit Check answers, assessment and 3D body scan results, and a medical reason given for a freeze, transfer or cancellation. You share it with us for a specific reason, and we use it only for that reason: to prepare your report, recommend the right training, or process your request.

Only the staff who need it can see it, such as our assessors, personal trainers and administration. It is never used for advertising and never sold.

Information saved on your own device

To save you time, our website forms remember what you type on your own device (in your browser's local storage) for up to 90 days, so a form is already filled in if you come back. This information stays on your device and is not sent to us until you submit the form.

To erase it, clear your browser's site data for klub20.ca. When you send a request, the request details are cleared from your device, while your name, email and phone stay saved so our other forms can fill them in for you.

Cookies, analytics and advertising

Our website uses cookies and similar technologies. Some are needed for the site to work. Others are analytics and advertising tools, such as Google Analytics, that tell us how visitors use the site and how our ads perform. These tools may collect your IP address, device and browser details, the pages you view and how you arrived.

You can block or delete cookies in your browser settings at any time, use private browsing, or install Google's Google Analytics opt-out add-on. Blocking cookies won't stop you from using our website.

Security cameras

For the safety of our members and staff, the club is monitored by security cameras in all areas except the locker rooms. Footage is accessed only by authorized staff, kept only as long as needed for security purposes, and shared only when required by law, for example with police during an investigation.

Who we share it with

We never sell your personal information. We share it only when needed, and only what is needed:

  • Service providers who work for us, such as our website and customer relationship platform, email and text message services, membership and payment processing, the Klub20 app, analytics and advertising tools, and live class streaming. They may only use your information to provide their service to us.
  • Authorities, when the law requires it.
  • A buyer or successor, if Klub 20's business is ever sold or transferred, under the same protections.

Some of our service providers store information outside Quebec, including in the United States. We choose providers that protect personal information, and we limit what we share with them to what they need.

How long we keep it

  • Contact details and requests: for as long as you stay opted in to hear from us. You can unsubscribe or ask us to delete them at any time.
  • Member records: for the length of your membership, then for as long as the law requires, for example for tax and accounting.
  • Health information and documents: only as long as needed for the reason you gave them to us, or as required by law.
  • Security camera footage: only as long as needed for security purposes, unless it's needed for an incident.

When we no longer need your information, we destroy it securely or make it anonymous.

How we protect it

Access to personal information is limited to staff who need it for their work. Our website forms are sent over secure, encrypted connections, and we use reputable providers with their own security safeguards.

If a confidentiality incident ever happens, we act quickly to limit it, keep a record of it, and notify the Commission d'accès à l'information and the people affected when there is a risk of serious harm, as the law requires.

Minors

Members must be at least 14. Members aged 14 and 15 train with a parent or a personal trainer, members aged 16 and 17 need a parent's signature, and members under 18 register in person with a parent. We don't knowingly collect personal information from children under 14 without a parent's consent.

Your rights

You have the right to:

  • Access the personal information we hold about you.
  • Correct information that is wrong or incomplete.
  • Withdraw your consent to a use of your information.
  • Ask us to delete your information, or to stop sharing it, when it's no longer needed or was collected improperly.
  • Get your information in a commonly used technological format (data portability).
  • Be told what information we hold, how we use it, and who can see it.

To make a request, write to [email protected]. We may ask you to confirm your identity, and we'll answer within 30 days.

If you're not satisfied with our answer, you can contact the Commission d'accès à l'information du Québec.
